Who we are

Birchmont Golf is a trading name of Birchmont Ltd, which is the controller of the personal information described here. You can contact us about anything in this notice at lewis@birchmontgolf.com.

Enquiries through this website

When you send an enquiry we use your name, club, role, email address, phone number (if given) and message to reply to you and to discuss your club’s needs. Our lawful basis is legitimate interests, or taking steps at your request before a contract. We keep enquiries for as long as reasonably required to deal with them and any project that follows, and delete them when no longer needed.

Contacting golf clubs about our services

We contact golf clubs by email, post and phone to tell them about website and club-management services that may help them. We use business contact details only: the club’s name, address, phone number and published role email addresses (for example the secretary, manager or office inbox), and, where the club publishes them, the name and role of the person in that post.

Source: we collect these details from the club’s own website and other public listings of the club, and we record where and when each one was found. We do not buy contact lists, use personal or home email addresses, or build profiles of individuals.

Lawful basis: legitimate interests (UK GDPR Article 6(1)(f)). Our interest is offering relevant services to organisations that buy them; we have assessed that this does not override the interests of the people involved, who are contacted in their work role at their club.

Opting out

Every email we send has an unsubscribe link, or you can reply “unsubscribe” or email lewis@birchmontgolf.com. You can object at any time and we will stop straight away. We keep a minimal record of the address so we never contact it again.

How long we keep it

Club contact details with no response are deleted or anonymised after 24 months, and sooner if you ask. Records of opt-outs are kept so the opt-out keeps working.

Who else processes it

Our website and records are stored with our web hosting provider. Emails are delivered by Resend, an email service, from its European region, and our website forms are protected by Cloudflare. They act on our instructions and may not use the information for their own purposes. We do not sell or share it with anyone else.

Your rights

You can ask for a copy of the information we hold about you, have it corrected or deleted, restrict how we use it, or object to our using it. Email lewis@birchmontgolf.com. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
